Associate Project Manager

Full Job Description
Hoffman Planning, Design & Construction, Inc. is a Wisconsin-based, integrated Total Project Management firm serving clients throughout the state and across the country. We provide clients with a single source of responsibility from the earliest planning stages through completion of construction. We are growing, and looking to add an Associate Project Manager. 

Reporting Structure:
Reports to VP of Construction or Senior Project Manager as relates to process and operations. Works at the direction of designated project leader for project specific work.

Job Summary:
Associate Project Manager assists the project manager or senior project manager with all aspects of construction project management during the planning, design, construction, and project close-out and warranty phase. Project assignments could be office or field based. On small or less complex projects, the Associate Project Manager will serve as the project manager responsible for coordinating the design and construction processes, including periodic supervisory review of schedules, cost projections, and overall project status and progress.

Essential Duties and Responsibilities:

1. Project Management duties may include:

· Estimating support – attend budget charrettes, prepare estimates and quantity take-offs
· Bidding support – preparation and assembly of bid documents, subcontractor solicitation, distribute plans, prepare bid tab and bid qualification documents
· Submittal administration – review submittals; contacting of subcontractors for outstanding submittals
· Review drawings, budgets, schedules, and other project-related matters with job site superintendent.
· Project accounting – assist with change order administration and project budget updates
· Project progress – assist with subcontractor and supplier communications, assist with permitting, and attend internal and external meetings as requested; create and issue project progress reports to owner’s as requested
· Assist with negotiating, writing, and approving subcontracts and change orders.
· Project close-out – assist with inspection preparation, obtaining close-out documentation from subcontractors, create and manage punch lists

2. Field Related duties may include:

· Assist in monitoring and implementing site safety and security and in conducting and documenting weekly safety inspections and meetings
· Assist with project documentation such as daily log maintenance of activities and occurrences on the site, progress photos and as-built drawings; maintain jobsite files and assist with distribution of current construction documents (drawings, addenda, construction bulletins, specifications)
· Assist with setup, maintenance, and communication of overall and 3 week construction schedules
· Assist with subcontractor management including meetings, activity scheduling, material staging, and labor issue management.
· Assist with all shop drawing and submittal review and processing, submittal log maintenance and material delivery date verifications
· Assist with quality control including coordination of project layout requirements, materials testing and inspection of work and work in progress for compliance with plans and specifications
· Assist with communication and documentation of project changes including requests for pricing, extra work authorizations and construction bulletins

Supervisory Responsibilities:

1. Assist as requested with orientation and training of intern or co-op students.

Qualifications:

1. Bachelor of Science in Engineering, Construction Management or Architecture from an accredited college or university, or Associates Degree combined with additional construction experience, or equivalent
2. Good interpersonal and communication skills (written and verbal)
3. Good organizational skills
4. Solid problem-solving skills and the ability to work effectively and independently.
5. Computer and technology literate including knowledge of Microsoft Office, spreadsheet manipulation, file-sharing, virtual collaboration, and business software/hardware

Physical Demands, Time Requirements and Standards Applicable to this Position:

Dependent on assigned work. May require:

1. Available for extended hours/business day and overnight travel
2. Valid driver’s license, ability to drive and be insurable under Hoffman policies at standard premium rates
3. No history of violent crime, illegal drug selling or predatory behavior. Drug use or possession charges in the last five years will prohibit employment.
4. No incident of crime, theft, fraud/misrepresentation, unethical financial or business dealings or poor personal credit history
5. Physical ability to move safely (including vision, physical mobility and hearing) throughout a construction site
6. Background checks mandated by clients (if assigned to school project work on site)
